Planning an event comes with a million moving parts—and selecting the perfect linens is one detail that can’t be left to chance. Whether you’re designing a wedding, corporate gala, or private dinner party, timing matters just as much as style. In this blog, we’re breaking down when to book and how to choose linens that elevate your entire event.
Start with the Big Three: Date, Guest Count, Venue
Before reaching out for quotes, lock in your venue, event date, and estimated guest count. These three details are key to determining availability and inventory. As soon as you have them, it’s time to reach out for a linen proposal. The earlier, the better—it’s always easier to scale back than scramble to add pieces that might be unavailable.
Recommended Booking Timelines
Weddings – Book 2+ months out, especially if you want custom fabric or specialty styles. We finalize your guest count and table numbers two weeks before the big day, so modifications can be made then, but your dream linens should be secured well before then.
Corporate Events – 1–2 months is ideal. Corporate planners often know their headcount early, which helps speed up the process.
Parties & Celebrations – Give yourself at least a month. Even if your guest list is still in flux, starting early ensures access to a wider range of colors, textures, and custom elements.
Peak Season = Early Booking
Spring and fall are our busiest times—especially April through June and again in October and December. If your event falls in these windows, reach out as early as possible to avoid limited availability.

Common Mistakes to Avoid
One of the biggest missteps we see? Assuming your venue’s basic linens will do the job. Most in-house linens are short, wrinkled, stained or worn. Gorgeous linens don’t have to blow your budget—but they do elevate everything else: your florals, your photography, and your overall atmosphere. You don’t have to spend a fortune, as there are so many price points we work with, but we guarantee it will look like you spent 10x more than you did.
Pro Tips from Our Team
Having a clear vision—or even just a few inspiration images—can go a long way when it comes to designing your linen look. It helps our team quickly understand the direction you’re heading, whether that’s romantic and timeless or bold and modern.
Still, a Pinterest board alone won’t bring your event to life. That’s where professionals come in. Hiring a planner is one of the smartest steps you can take. Planners know how to work within your budget while allocating funds where they’ll have the most visual and logistical impact. They can also ensure your overall design is cohesive from start to finish.
Floor plans are often dictated by your venue and guest count, so knowing those details in advance helps us guide you toward the right sizing, quantities, and layout for your linen selections.
If you’re able to visit our showroom, we always recommend it. Meeting with our Event Design Specialists in person is a great way to explore your options, see and feel different fabrics, and pull together looks that reflect your story and style. It’s a hands-on experience that brings clarity, creativity, and confidence to your planning process.
The best advice? Keep an open mind. With guidance from your planner and our design team, you might discover a combination that’s even better than what you originally envisioned.
